A new way for visitors to book
Advance tickets started in 2025 and were completely new to the rally. Sales were slow at first, but visitors began to see the benefit of buying before they arrived.
The organising club, MWVMC, chose to offer a small discount for tickets bought in advance. The club also found a sponsor to help cover fees and chose to pay those fees itself, so visitors saw one clear price. We supplied the tools to add advertising space to tickets.
Paying before arrival
Before, the gate team had to take payments and check admission while visitors sat in their vehicles. Advance tickets moved payment before arrival, so the team only had to check a ticket.
The organisers reported less cash at the gate, fewer payment problems and quicker entry for visitors with tickets. These are their observations from the event; we don't claim a measured cut in queue times or a rise in sales.
From postal forms to online exhibitor registration
Our exhibitor registration work began in 2024, moving the rally from mostly postal forms to an online system. About 350 exhibitors registered online in 2025, and about the same again in 2026. These figures are exhibitors, not visitor tickets.
In 2025 and 2026 this included:
- online exhibitor registration
- QR exhibitor passes
- guidance packs sent to exhibitors
- one list of every exhibit attending
- email reports to each section
A useful starting point for your event
Moving online involves the committee, the gate team and exhibitors as well as ticket buyers. At Caersws we brought all of their needs into the same conversation, and planned advance booking and registration around the way the rally runs.
Exhibitor registration is an extra service, quoted separately from ticketing. Help with your first event is included in your ticketing fees: a first meeting, help with setup, training and one visit to check the signal at your site, by arrangement.
